App privacy notice

Effective 21 October 2026

This notice explains how Scallle.com Ltd (“Scallle”, “we”) handles personal data about the people who use the Scallle app at app.scallle.com (the “App”). Our website has its own privacy notice.

1. Who we are

Scallle.com Ltdis a company registered in England & Wales. You can reach us at legal@scallle.com.

2. Our two roles

  • Your account, and keeping the App secure. We decide how this information is used, so for it we are the controller.
  • Your business’s content. The maps, procedures, tasks, notes, comments and other information a business puts into the App — including anything in them about you or about other people — we hold and use on that business’s behalf, on its instructions. For it, we are the processor and the business is the controller. Its own privacy notice explains how it uses that information, and questions about it go to the business first; we’ll help it answer them.

3. What we collect

  • Account details: your name, email address and picture — from your Google account if you sign in with Google, or the ones you give us — your role in each business, and your clock and date settings.
  • How you sign in: with Google, or with an email and password. We never see your Google password, and passwords are stored by our sign-in provider in a form that can’t be read back. If you use two-step sign-in, a record of when it was set up, added, removed or reset.
  • Sign-in and security records: your sign-in sessions and sign-in events, with the IP address and browser they came from.
  • Your agreement to our terms: each version you agreed to, and when.
  • What you do in the App: who changed what and when, kept as your business’s history.
  • Messages you send us: support requests and feedback. Feedback sent from the App also records the page you were on, your browser, your screen size and your local time.
  • Invitations: if someone invites you, the name and email address they gave us, and any note they added.
  • Only if you choose to: your Telegram chat id, if you link Telegram for notices; and your notices on your Mac, if you install the menu-bar plugin.

4. How we use it, and why we may

  • To provide the App and your access to it — to carry out our agreements with you and with your business, and in your business’s legitimate interest in running its work in the App.
  • To keep the App and your business’s information secure, and to stop misuse (legitimate interests).
  • To send the emails the App needs to send: invitations, sign-in and security notices, and the notices your business has set up (our agreements, and legitimate interests).
  • To keep a record of your agreement to our terms, so we can show what was agreed (legitimate interests).
  • To answer your messages and to improve the App (legitimate interests).
  • To meet our legal obligations (legal obligation).

We don’t sell personal data, we don’t use it for advertising or profiling, and we don’t train AI models on it, or on your business’s content.

5. Who we share it with

  • The people in your business. They can see your name, email and picture, and what you do in its workspace; its admins also manage your access.
  • Scallle staff, who can see accounts and, to help with a problem, can see and use the App as you for up to four hours. Anything they change then may be saved under your name.
  • The services that run the App for us, each only for its own job: Supabase (the database and sign-in, in Ireland), Vercel (hosting, in Dublin), Render (Scallle’s own scheduled jobs, in Frankfurt), Resend (sending email), Google (sign-in, if you choose “Sign in with Google”, the profile picture of anyone who signs in with Google, which your browser loads from Google, and the font on a printed sticker sheet), Telegram (only if you link it) and Stripe (a business’s billing contact, when billing applies).
  • Anthropic, the company behind Claude, the AI assistant we use to build and support the App. While we work, Claude can read the App’s data, yours and your business’s included, and Anthropic handles it under its own terms.
  • Tools your business connects. If your business connects its own automation tool or its own database, the App sends it the information your business chooses. Those tools are your business’s, under its own agreements.
  • Videos and pictures in your business’s content. Videos from YouTube, Vimeo, Loom or other sites, and pictures from other sites, are loaded by your browser from those sites, which can see your IP address.
  • Professional advisers where we need them, and authorities if the law requires it.

6. Where it’s kept

The App’s database is in Ireland and the App runs in Dublin; Scallle’s own scheduled jobs run in Frankfurt. Some of our providers are based in the United States; where personal data leaves the UK, we rely on safeguards such as the UK International Data Transfer Addendum, the EU Standard Contractual Clauses, or the UK Extension to the EU–US Data Privacy Framework.

The App also keeps copies of the pages you open on your device, so it can work offline. Signing out with the App’s sign-out button clears them, and so does someone else signing in on the same browser. If you only close the browser, the copies stay on the device.

7. How long we keep it

  • Account details and pictures: until you ask us to delete them. When your access to a business ends, your name and email stay with the work you did in its records, and pictures you have replaced are kept too. Ask us and we’ll delete or anonymise them, unless the law or your business’s agreement means we have to keep them.
  • Your agreement to our terms: as long as your account exists, so we can show what was agreed.
  • Sign-in and security records: as long as they’re needed to keep the App and your account secure.
  • Messages, feedback, invitations, notices and your business’s history: until they are deleted on request, or for as long as your business keeps its history.
  • Your business’s content: as your business’s agreement with us sets out, and when that agreement ends we delete or return it as agreed. Until your business has signed one, until your business deletes it or asks us to.

8. Your rights

You have the right to access, correct or delete your personal data, to restrict or object to how we use it, and to take a copy of it with you. Email legal@scallle.com. For information your business holds about you in its content, ask your business; we’ll help it answer. You can also complain to the UK Information Commissioner (ico.org.uk).

9. Cookies and your browser

The App uses only the cookies it needs to work: to keep you signed in, to remember which business you’re working in and how you’ve laid out the screen, and for security. It keeps your other layout and view choices in your browser. The App sets no advertising, tracking or analytics cookies. Videos in your business’s content are played by the service they come from (YouTube, Vimeo, Loom or another site), which may set its own cookies when the video loads or plays; the App opens YouTube and Vimeo in their privacy modes.

10. Changes to this notice

We’ll update this notice when how we handle personal data changes, and the date at the top will change. If a change matters, the App will ask you to read the new version the next time you open it.
